DiMillo’s Yacht Sales is a professional yacht dealership and brokerage firm with five locations stretching along the east coast including Freeport, Portland & Kennebunk, Maine; Glen Cove, New York and West River and Oxford, Maryland. DiMillo’s has been providing yacht sales expertise since 1998, and represents new yachts from Sabre Yachts, Back Cove Yachts, Tiara Yachts and MJM Yachts. In addition to new and pre-owned yacht sales, DiMillo’s is proud to have a full-time, year-round service team that focuses efforts on their new and brokerage buyers. The service team’s capabilities include all aspects of commissioning new vessels, yacht repair and in-house captain services.

 

We are pleased to announce an opening for a full time, in office, Administrative Assistant at our headquarters in Portland, ME. The responsibilities for this position are outlined below, however, as the employee becomes acclimated with our business and responsibilities, additional tasks and duties will be assigned and created. This role requires you to handle a wide range of administrative tasks while providing flexibility in accommodating the daily challenges that arise with supporting our clients, the sales team, and administrative team.

 

In addition to flexibility, the ability to multi-task and efficiently jump from one situation to the next is essential. You should also demonstrate a high-level of customer service, discretion and communication skills.

Administrative Assistant Responsibilities:
• Greet all visitors and direct them to the correct broker, marina or service personnel
• When clients arrive, ensure they are comfortable, offering them beverages, restrooms, etc.
• Answering the phone and directing calls to appropriate person, when needed
• General errand runner (supplies, customer support, etc)
• Misc shipping/labeling/filing/data entry
• Ordering office supplies
• Help to maintain an organized and presentable office
• Prepare new hire packets
• Job Posts/job description updates
• Ordering and coordinating clothing for sales and admin team
• Organize and execute company lunches, gifts, events, etc.
• Other duties as assigned
